Quick Start

How do I start using Kalenner as a client?

To begin using Kalenner as a client, you need an invitation from a Specialist or Organization:

Getting Started
  1. Click an invite link or scan a QR code provided by your chosen Specialist or Organization

  2. Confirm launching Telegram when prompted

  3. You'll be automatically registered and gain access to comprehensive booking features

What You Can Do After Registration

Once registered, you'll be able to:

  • View your list of specialists and/or organizations (starting with your first invitation)

  • Communicate securely through built-in chat

  • Access detailed information about specialists (Profile Pages)

  • Review Terms and Conditions and provide consent for required documents

  • Securely share and receive documents with your specialists/organizations

  • Pay for services (if payment links are configured)

  • Request and cancel appointments

  • View information about planned and past appointments

Important First Step

We strongly recommend going to the Settings menu and configuring your time zone as your first action. This is crucial to prevent scheduling conflicts or misunderstandings when booking appointments.

Important Note about Time Zones: Since we don't collect location data, we cannot automatically determine your country or current time zone. Additionally, not all countries observe daylight saving time (summer/winter time changes), and those that do may have different transition dates.

Please manually verify your current UTC offset and set it correctly in the Settings. The time zone examples with city names shown in Settings may not reflect current reality due to seasonal time changes. For the most accurate scheduling, check your actual current time difference from UTC and select the appropriate setting.

Appointments

How do I request an appointment?

Booking an appointment is simple and straightforward:

  1. Click the Request appointment button in the main menu

  2. Select your preferred specialist/organization

  3. Choose the service or appointment type you want to book

  4. Select an appropriate date from available options

  5. Pick your preferred time slot

  6. Click Confirm to submit your request

What Happens Next

Your chosen Specialist or Organization will receive your request and either accept or decline it. You'll receive an immediate notification about any status changes to your appointment, keeping you informed throughout the process.

How can I view my scheduled and past appointments?

Managing your appointment history is straightforward through the Appointments section:

Viewing Current Appointments

Go to Appointments to see all your planned appointments with complete details including:

  • Date and time

  • Specialist/Organization name

  • Current appointment status

Understanding Appointment Statuses

Your appointments will display one of the following statuses:

  • 🟡 Pending (requested but awaiting confirmation)

  • 🟢 Accepted (confirmed appointments)

  • 🔴 Rejected (declined by the Specialist/Organization)

  • Completed (appointment successfully finished)

  • Cancelled (appointment was cancelled)

  • Missed (you did not attend this appointment)

Managing Your Appointments
  • View details: Select an appointment and click Meeting info for comprehensive information

  • Cancel appointment: Select an appointment and click Cancel to cancel it

Accessing Past Appointments

Click the Past appointments button to review your appointment history with similar detailed information. Simply click on any past appointment to view a detailed pop-up with complete information.

Payment Information

In the detailed information window, you'll also see:

  • Service/appointment price

  • Amount paid

  • Outstanding balance

Note: If payment information appears incorrect, contact your Specialist/Organization via Chat to resolve any discrepancies.

What should I do if my appointment request was rejected?

Appointment rejections can happen for various reasons, but you have several options:

  • Try a different time: Request another appointment for a different time slot that might work better for the specialist's schedule

  • Contact directly: Use the Chat feature to communicate with your Specialist/Organization to:

    • Understand the reason for rejection

    • Discuss alternative scheduling options

This direct communication often helps resolve scheduling conflicts and ensures you can find a suitable appointment time.

How can I find more information about a Specialist/Organization?

Discovering detailed information about your service providers or organizations is easy:

Accessing Profile Information
  1. Go to the Specialist list

  2. Select the Specialist/Organization you want to learn about

  3. Click the Profile button

  4. You'll receive a direct link to their comprehensive Profile page

What You'll Find on Profile Pages

Depending on the information provided by the Specialist/Organization, you can access:

  • General information about their expertise and background

  • Photo gallery showcasing their work or facilities

  • Complete service catalog with detailed descriptions, durations, and pricing (if configured)

  • Contact information which may include:

    • Website URL

    • Email address

    • Phone number

    • Physical address with map links

    • Social media profiles

This comprehensive information helps you make informed decisions about the services you receive and appointments.

How do I review and provide consent for Terms of Service?

Managing your consent agreements is straightforward and transparent:

  1. Go to Specialist list

  2. Choose your Specialist/Organization

  3. Click the Ts&Cs button

Understanding Consent Status

You'll see all documents with clear status indicators:

  • Pending consent - requires your review and agreement

  • ✍️ Signed - consent already provided

  • (blank) - consent not required for this document

Reviewing and Signing Documents
  1. Select one or multiple documents to review

  2. Click Download to access the documents

  3. Click the generated secure link to view the content

  4. After review, select the document(s) and click Change consent

  5. Confirm your decision - the status will update to "Signed"

Security Note: Download links are valid for 5 minutes for security. After expiration, simply click Download again to generate a new secure link.

How can I communicate with a Specialist/Organization?

Direct communication with your service providers is built into the platform:

  1. Go to the Specialist list

  2. Select the Specialist/Organization you want to contact

  3. Click the Chat button to open a secure messaging thread

Visual Identification

For easy identification in your list:

  • Individual Specialists are marked with 👤 icon

  • Organizations are marked with 🏫 icon

How do I securely share documents with a Specialist/Organization?

The platform provides a secure, private document exchange system:

Accessing Document Exchange
  1. Go to the Specialist list

  2. Select your Specialist/Organization

  3. Click the Documents button

Managing Shared Documents

In this secure space, you can:

  • View all documents shared between you and the provider

  • Download documents by selecting them and clicking Download

  • Upload new documents using the Upload button

  • Delete your documents using the Delete button (you can only delete documents you uploaded)

Document Identification
  • Documents uploaded by the Specialist/Organization are marked with 🟣 icon

  • Your uploaded documents appear without special marking

Security and Communication
  • Security: Download links expire after 5 minutes for maximum protection

  • Privacy: Only you and your selected Specialist/Organization can access these documents

  • Communication tip: Since providers don't receive automatic upload notifications, use the Chat feature to inform them when you've shared new documents

This secure system ensures your sensitive information remains confidential while enabling efficient document sharing.

What if I want to become a Specialist or Organization too?

If you initially registered as a Client but are now ready to offer your own services, transitioning to a provider role is straightforward:

  1. Press Registration options in the main menu

  2. Choose your preferred registration type:

    • Specialist - for individual service providers

    • Organization - for businesses with multiple specialists

  3. For a complete overview of Kalenner's benefits, click the About service button

Important Account Limitations

Registration Combination Rule: One Telegram account can be registered as either a Specialist OR an Organization, but not both simultaneously. However, when you register as a Specialist or Organization, your Client registration will be preserved, allowing you to continue using all client features.

Business Owner Solution: If you're a business owner who needs Organization registration while also personally providing services (requiring Specialist registration), you'll need two separate Telegram accounts:

  • One for your Organization account

  • One for your personal Specialist account

Navigation Note

There is no Back button from the Registration options menu. To return to the main interface, use the menu button (located on the left side of the message field) or type the /start command to restart the service.
